How we calculate this
Prices are for the United States in 2026 from published cost guides, checked September 2026. This is an estimate, not a quote.
What each Buildertrend plan costs
| Standard | $299 a month, about $3,588 a year. Scheduling and CRM, no estimating. |
|---|---|
| Pro | $499 a month, about $5,988 a year. Adds estimating and change orders. |
| Premium | $900 plus a month, with white glove onboarding. |
| Users | Unlimited on every plan. |
| Onboarding | $400 to $1,500 one off. |
What pushes a quote up
| Plan tier | Estimating and change orders sit behind the Pro plan. |
|---|---|
| Promo pricing | The $99 first two months resets to full price. |
| Onboarding | Charged on top, and larger builders pay more. |
| Payment processing | Card and ACH fees are separate. |
| Annual or monthly | The posted prices assume annual billing. |
Unlimited users is the real selling point
Most contractor software charges per user or per technician. Buildertrend charges one flat fee for the whole company, so the cost per head falls as you grow. A 20 person builder pays the same $299 as a three person builder on the same plan.
The catch is tier gating. Estimating, the feature most builders want on day one, is not in the Standard plan. Price the Pro plan if you quote jobs, or you will upgrade within weeks.
Why the price moves
Buildertrend is quoted, not listed. The same product can cost one company far more than another because the rep prices to the buyer, not to a sheet. Seat count, contract length and how much setup help you need all move the number. The ranges here are drawn from real deals, not the vendor.
Pricing is per month, unlimited users, so the main levers in the quote are the tier you pick and the setup fee, not the headcount.
How to judge the quote in your hand
- Check which features are in your tier before you sign, especially estimating.
- Ask for the all in number: licence, setup, training and support for year one.
- Ask what renewal looks like in year two and three, in writing.
- Get a second quote from a rival and say so on the call.
- Buy at quarter end, when reps chase targets.
- Cut seats and modules you will not use in the first 90 days.
Ways to pay less
- Do not budget on the $99 promo. Budget on the full price.
- Pay yearly if the discount is real, not just a rounding of the monthly price.
- Start on the lowest tier and upgrade when you hit a wall.
- Ask for the setup fee to be waived or split over the year.
- Check the free trial or demo before you sign anything.
Before you decide
For a builder with more than about five people, unlimited users is worth more than a lower headline price. Count how many people would need a login: project managers, the office, subcontractor coordinators, the owner. At ten logins, a $299 flat fee beats $65 a seat by a wide margin.
The trap is the promo. The first two months at $99 feel cheap, then the bill triples. Budget from month three, not month one, and ask whether onboarding can be folded into the annual price.
