How we calculate this
Prices are for the United States in 2026 from published cost guides, checked September 2026. This is an estimate, not a quote.
What Workday buyers pay
| Under 500 staff | About $150,000 to $300,000 a year. |
|---|---|
| 500 to 2,500 staff | About $300,000 to $500,000 a year. |
| Per employee, at scale | About $34 to $42 a month for core HR. |
| Core HR list rate | $20 to $40 per employee a month, often paid $14 to $28. |
| 5,000 staff, HR, payroll and talent | About $900,000 to $1.8 million a year. |
What pushes a quote up
| Staff count | The bill is built on a weighted head count. |
|---|---|
| Modules | Adding finance raises the blended rate a lot. |
| Minimum deal | Small companies hit a floor, so cost per head is high. |
| Yearly rises | Contracts often carry rises each year. |
| Setup | Setup partners bill separately, often in the hundreds of thousands. |
How Workday counts your staff
Workday does not just count heads. It uses a weighted count. A full time worker counts as 1. A part time worker counts as 0.25. Contractors count at a rate agreed in the contract. Your price is that weighted count times a rate per employee per month.
The catch is the floor. The count in your contract is a minimum. If you shrink, you keep paying for the old number. So ask for the floor to be set at your lowest likely head count, not your current one, and ask how part time and seasonal staff are counted before you sign.
How the quote gets made
Workday does not publish prices. A rep works out your size, what you need and how soon, then prices the deal to match. Discounts depend on timing and on whether you are talking to a rival. The numbers on this page are what buyers and analysts report paying, not a list price.
Pricing is per year, whole contract, so the main levers in the quote are the tier you pick and the setup fee, not the headcount.
How to judge the quote in your hand
- Ask how the weighted head count was worked out, line by line.
- Ask for the all in number: licence, setup, training and support for year one.
- Ask what renewal looks like in year two and three, in writing.
- Get a second quote from a rival and say so on the call.
- Buy at quarter end, when reps chase targets.
- Cut seats and modules you will not use in the first 90 days.
Ways to pay less
- Set the head count floor low so a smaller year does not cost you.
- Pay yearly if the discount is real, not just a rounding of the monthly price.
- Start on the lowest tier and upgrade when you hit a wall.
- Ask for the setup fee to be waived or split over the year.
- Check the free trial or demo before you sign anything.
Before you decide
Setup is where Workday budgets go wrong. Guides report setup at $300,000 to $800,000 in year one for mid size companies. Get a fixed scope from the setup partner, with dates and named people, before you sign the software deal.
Watch the yearly rise as well. Rises are often written into the contract, and they compound. A cap in writing on day one is worth more than a bigger discount you cannot keep at renewal.
One more thing: ask what a smaller company pays for the same modules. Guides report the same setup quoted at very different prices to similar companies. Knowing that gap exists is your best tool on the call.
About $150,000 to $300,000 a year for companies under 500 staff, and $300,000 to $500,000 for 500 to 2,500 staff. A weighted head count times a rate per employee per month. No. Setup is billed separately and can be large. No. Every number here comes from advisors and buyer data. Related jobs people check next, with the usual 2026 price.Common questions
