You pay for data, not people

Most legal software charges per user. Everlaw charges per GB of data, and every user is included. That is great for a big review team. It is costly for a case with a mountain of data that drags on for years, because every GB is billed every month.

So the cheapest move is to cut data before it goes in. Remove duplicates, filter by date and custodian, and drop system files. Then close out old matters as soon as they end, so they stop billing.

Why quotes vary so much

Everlaw is sold deal by deal. There is no fixed price, so the quote reflects your size, your urgency and the time of year. Two firms with the same headcount can be quoted amounts far apart. This page shows the range buyers actually report, with the source for each number.

Pricing is per GB, per month, so the main levers in the quote are the tier you pick and the setup fee, not the headcount.

How to judge the quote in your hand

Ask for the rate per GB at your expected volume, and any minimum.
Ask for the all in number: licence, setup, training and support for year one.
Ask what renewal looks like in year two and three, in writing.
Get a second quote from a rival and say so on the call.
Buy at quarter end, when reps chase targets.
Cut seats and modules you will not use in the first 90 days.

Ways to pay less

Cut data before upload. Every GB you remove saves money each month.
Pay yearly if the discount is real, not just a rounding of the monthly price.
Start on the lowest tier and upgrade when you hit a wall.
Ask for the setup fee to be waived or split over the year.
Check the free trial or demo before you sign anything.

Before you decide

Ask about closed matters. Some firms leave finished cases in the system for months, and they keep billing every month. Agree a clear rule for when a matter is closed and archived, and check it every quarter.

If you pass costs to clients, share the per GB rate early. Clients are more willing to approve review costs they expected than a surprise bill at the end of discovery.

One more tip: ask how AI credits work. They are bought separately and expire at the end of the term, so buy only what you expect to use.

Also compare the per GB rate with what you pay a vendor today. Many firms send discovery to an outside provider and pay per GB for hosting and review. Put both numbers side by side for one real matter, including staff time, and the better choice is usually clear within an hour.
