What a service call costs in 2026, by trade
The service call fee is what you pay for a technician to show up, find the problem and quote the fix. Pick your trade for the normal range, what it includes, and whether it's credited to the repair.
What the fee is for
Every service trade has the same problem: the expensive part of a small job is getting there. A technician can spend 45 minutes driving, 30 minutes diagnosing and 10 minutes writing a quote before you decide whether to repair. The service call fee pays for that time. Depending on the trade it is also called a trip fee, trip charge, dispatch fee, call-out fee, or diagnostic fee.
Three things decide whether a fee is fair: the range for your trade and area, whether it includes any labor, and whether it is credited back when you approve the repair. Ask all three before booking.

How the calculator works
A service call fee has to cover everything that happens before a repair is approved. The calculator adds those costs and then applies your margin.
- Burdened labor rate = wage × (1 + burden%) ÷ billable%. A $32/hr technician with 35% burden who is billable 70% of the day really costs $61.71 per productive hour.
- Travel labor = burdened rate × drive minutes ÷ 60.
- Vehicle cost = round-trip miles × cost per mile. The IRS business rate is 76¢ per mile from July 1, 2026, up from 72.5¢ in the first half of the year.
- Included on-site time = burdened rate × on-site minutes ÷ 60.
- Break-even = travel labor + vehicle cost + on-site time + dispatch cost.
- Fee = break-even ÷ (1 − margin%). Dividing by (1 − margin) gives a true margin on price; multiplying by (1 + margin) would be markup, which is smaller.
Worked example: $32 wage, 35% burden, 70% billable, 45 minutes of driving, 24 miles, 30 minutes on site, $15 dispatch, 30% margin. Break-even is $46.28 + $18.24 + $30.86 + $15.00 = $110.38. Fee = $110.38 ÷ 0.70 = $157.69, which sits inside the normal HVAC range.
Common questions
What is a service call fee?
A flat charge for the contractor coming out, diagnosing the problem and quoting the repair. Repair labor and parts are separate.
Is a service call fee the same as a diagnostic fee?
Usually. Some companies charge a small trip fee plus a diagnostic fee; most charge one combined fee. Get the total.
Is the fee waived if I go ahead with the repair?
Often in HVAC and appliance repair, sometimes in plumbing, rarely for locksmiths. Ask.
How should a contractor set a service call fee?
Cost out the drive, the included on-site time, the vehicle and dispatch overhead, then divide by one minus your target margin. That is what the calculator above does.
