What pushes a quote up
| Transaction volume | More orders means a higher tier. |
|---|---|
| States you file in | Each state you must file in adds work and cost. |
| Filing service | Returns filing is a separate product from tax math. |
| Exemption certificates | Managing tax exempt buyers is another product. |
| Registrations | Signing up in new states is extra, plus the state's own fees. |
The quote is only tax math
Avalara is really four or five products. The base quote, called AvaTax, only works out the tax on each sale. Filing your returns, managing exemption certificates and registering in new states are each sold on top. A CFO review found a typical online brand pays $7,400 to $25,000 plus a year once those are added.
This is the most common surprise. One buyer on a review site was quoted under $1,000 for the year and ended up paying over $6,000, while filing in just one state. Treat the first quote as the floor, not the budget.
Why the number is hard to find
There is no public rate card for Avalara. Quotes are built one deal at a time, and the rep has room to move on seats, modules and the setup fee. The ranges here come from people who have signed, and from analysts who track those deals, which is the only way to get a real figure.
Pricing is per year, whole contract, so the main levers in the quote are the tier you pick and the setup fee, not the headcount.
How to judge the quote in your hand
- Ask for every product you need in one quote: tax math, filing, exemptions and registrations.
- Ask for the all in number: licence, setup, training and support for year one.
- Ask what renewal looks like in year two and three, in writing.
- Get a second quote from a rival and say so on the call.
- Buy at quarter end, when reps chase targets.
- Cut seats and modules you will not use in the first 90 days.
Ways to pay less
- Count your nexus states first. Fewer filing states means a smaller bill.
- Pay yearly if the discount is real, not just a rounding of the monthly price.
- Start on the lowest tier and upgrade when you hit a wall.
- Ask for the setup fee to be waived or split over the year.
- Check the free trial or demo before you sign anything.
Before you decide
Before the call, gather three numbers: orders a year, states where you must collect tax, and states where you must file. Those decide the tier more than anything else. Bring them in writing so the quote is built on real numbers, not guesses.
Also check how overages work. If a busy season pushes you past your transaction limit, ask what the extra orders cost and whether the limit resets each year. Sellers with a big holiday season get caught by this.
Finally, check the renewal terms. Ask how much your price can rise at renewal and put a cap in writing. Buyers on review sites often report bills climbing year after year. A cap costs nothing to ask for.
